Close out event devices and access without losing required records

Last materially reviewed 2026-09-28

Quick answerFinish the authorized record handover, then return devices and remove access through the organization’s process.
What to know

Separate records from access

The end of a shift or event does not automatically mean every record is reconciled. Identify who owns unresolved cases and any necessary exports before devices are returned. At the same time, do not leave temporary access active indefinitely simply because a report is unfinished. These are separate tasks that can be assigned and tracked. The goal is a controlled closeout, not an improvised deletion of everything associated with the event.

What to know

Use the intended sign-out route

Ticket Tailor’s check-in guide includes ending the session by logging out. Follow the organization’s approved process for shared or borrowed devices and for removing event access. Do not put account passwords into a return checklist. A returned phone and a closed user session are different observations; record them separately when both matter. The owner should know who can verify each one.

What to know

Handle private working copies

Paper lists and exported files may contain attendee information. Return, retain or dispose of them under the organization’s actual policy and applicable obligations. Do not assume that deleting an app removes every copy elsewhere. This publication does not prescribe legal retention or forensic erasure. It recommends identifying the copies and their owners so that the authorized people can apply the right process.

What to know

A fictional equipment return

Three devices are returned, but one has an unresolved offline period. The lead assigns reconciliation before the relevant session is closed and confirms the result through the approved record. The equipment log then records physical return and access closeout as separate completed items. A spare that was never used is recorded honestly as unused, not as a source of attendance evidence. The next event begins from a fresh preparation check.

Continue when useful

Next: Check-in export

A downloaded file needs definitions, a date and access controls before it becomes a useful handover record.
