Make the date visible
A recurring event can have the same public name every week while each ticket belongs to a particular occurrence. Put the intended date and time in the team briefing, device assignment and fallback list. Avoid shorthand such as “the usual event” when people work different shifts. The question is not merely whether the event appears in the app, but whether the selected data matches the admission decision being made today.
Choose the allowed scope

The organizer must define the policy and who may make exceptions. Loading a broader date range may help a supervisor investigate, while an ordinary entrance may need a narrower task. Distinguish what the software can display from what the operator is authorized to admit.
Keep changes explicit
If the schedule changes, identify every place where the old date remains: device selection, printed list, volunteer message and public instructions. Do not assume one update reaches all of them. Mark a changed preparation item as needing recheck. A small change log can say what changed, who owns the update and which version the door team should use. It does not need to contain attendee names.
A fictional wrong-date case
A ticket is valid for the next session, but its holder arrives at the current one. The scanner operator should not infer permission from a familiar event name. They follow the documented exception route, while the supervisor checks the actual policy and available evidence. Afterward, record the operational issue without turning the person’s details into a public example. Before the next opening, ask a volunteer to state the accepted date range in their own words.
